A production sample is not only a visual reference. It is the point where product expectations, specification detail, packaging, installation and mass-production controls become testable before a purchase order is released.

Use this review process to confirm whether a bed frame or mattress is suitable for your market, channel, target price and planned order quantity.

When a product sample is suitable

Samples are especially useful for a new model, a new supplier, a complex customization, a customer drawing, a new fabric or colour, a changed bed leg, wood slat or bed base, a new mattress construction, or a product intended for online retail and last-mile delivery.

A sample is not automatically required for every standard reorder. For an established model, the priority is to reconfirm the approved specification, colour or fabric code, packing method and previous quality record.

Agree cost and freight before dispatch

Before making a sample, confirm whether the sample is chargeable, which materials and construction are included, whether development work is required, and how the sample cost will be treated if a mass-production order follows.

Freeze the specification before approval

Create one written approval record covering model number, size, mattress fit, overall dimensions, headboard height and thickness, fabric collection and swatch code, colour, bed leg, slat system, bed base system, storage or gas-lift mechanism, bottom material, mattress thickness and firmness where applicable.

Inspect appearance and structure

Review fabric tone, texture, stitching, seam alignment, piping, foam feel, panel symmetry, headboard shape, finish and visible hardware. Compare the physical sample with the approved reference under suitable lighting.

Install the product as a customer would

Complete a full installation using the supplied parts, tools and instructions. Record installation time, number of people required, unclear steps, difficult connections, missing labels, hardware problems and any risk of incorrect assembly.

Review packaging and transport readiness

Inspect internal protection, foam placement, corner protection, hardware bags, carton strength, labels and the relationship between the packed product and the approved package dimensions.

Capture feedback as an approval record

Use a numbered sample review sheet with photographs, measurements, comments, responsible owner and due date. Separate approved points, required corrections, optional improvements and items requiring technical or compliance verification.

Control sample-to-mass-production consistency

The approved sample becomes a controlled reference. The final order confirmation should link the approved sample to the model, size, quantity, fabric or colour code, structure, packing and special requirements.

Confirm the next production step

After approval, issue a final order confirmation covering all agreed specifications, open technical points, inspection requirements, packing details, documentation and target schedule.
