From Trial Order to Repeat Containers.

The requested headboard appearance mattered for the retailer's product offer, but the original bed-base drawing could not be reproduced using our production method. The buyer needed to know whether the visible design could be retained with an alternative base, how the sample would look and what upholstery, slat and packing details would be supplied.

We explained the structural limitation instead of promising an exact copy. After the buyer agreed that the bed base could change, we proposed our existing base while retaining the requested headboard appearance. We developed a dark grey velvet sample, reviewed the photographs with the buyer and updated the order description to include the selected fabric, metal base, slat arrangement and two-carton packing. We also discussed whether components could be packed inside the headboard when considering container loading.

The buyer wanted to inspect the bed-base construction, underside materials, metal frame and slats, as well as confirm the upholstery and carton arrangement. Four sleeping sizes and two colours were involved in the first 40HQ order. Inadequate photos or unclear product descriptions would have made internal approval difficult.

We provided additional product and detail photos, clarified the internal bed-base and upholstery specifications, and revised the order description to address fabric references and two-carton packing. We supplied assembly instructions for review. During the inspection stage, we shared photographs and a spare-parts list covering items such as slats, gas lifts, screws, support legs and plastic caps, so the buyer could check the relevant information before progressing.

The buyer needed to confirm that 140 × 200 and 160 × 200 cm described the mattress-fit dimensions rather than the outside dimensions of the frames. The lifting mechanism, matching upholstery on the headboard and frame, velvet shades and courier-related carton details also needed clarification. An incorrect assumption at this stage could result in ordering the wrong configuration.

We clarified the sleeping sizes and confirmed that the selected bed configurations did not include a lifting mechanism. We shared velvet references and discussed the colours under consideration, including a separate check of the beige shade. We then prepared a proposed order for two containers through Alibaba and reviewed the buyer's request for carton information relevant to courier delivery. Where packing photographs were still requested, we treated them as a follow-up item rather than claiming that this evidence had already been supplied.
